Job Description:
As a Portfolio Administrative Assistant, you’ll play a crucial role in supporting our client’s team (two advisors and two assistants), ensuring seamless client relationships and efficient office operations. Your responsibilities will span various administrative tasks, from managing client onboarding to assisting with compliance reporting. This diverse role offers the opportunity to grow professionally and make a meaningful impact within our organization.

Specific Responsibilities:

  • Take ownership of assigned tasks, ensuring timely completion
  • Manage daily file import and organization
  • Facilitate the onboarding and offboarding of clients
  • Prepare and distribute client mailings
  • Assist in auditing client fees and maintaining compliance standards
  • Maintain email lists and format communications
  • Update website content as needed
  • Prepare client paperwork and calculate distributions
  • Assist with long-term projects and problem-solving

Education:
High school diploma or GED required; higher education is a plus

Experience:
Two years of administrative or finance-related experience preferred

Skills Required:

  • Proficiency in Microsoft Word and Excel
  • Ability to work independently and prioritize tasks
  • Strong attention to detail and confidentiality
  • Excellent communication and organizational skills
