We are seeking a reliable and adaptable Administrative Assistant to support Human Resources, Payroll, Recruiting, and Benefits functions for a growing organization in Lancaster, PA. What You’ll Do
As the Administrative Assistant, you will provide essential administrative support across multiple HR functions to help ensure smooth daily operations. Responsibilities include:
Payroll & Compliance Support

Processing and managing E-Verify cases for new hires

Completing Verifications of Employment (VOEs) accurately and timely

Processing and tracking Medical Support Notices

Pulling and organizing W-2s for audits and compliance requests
-
Supporting payroll correspondence, document management, and filing
-
Maintaining employee and payroll records in OnBase
-
Assisting with additional payroll-related tasks as assigned
HR Team Support

Providing administrative support to the VP of Human Resources and HR team on projects related to compensation, incentives, and salary budgeting

Serving as a primary contact for the HR Help Desk, responding via email, phone, and ticketing system

Scheduling and recording minutes for Quarterly Information Meetings

Running and reporting the Monthly Job Openings and Labor Turnover Survey (JOLTS)

Producing and distributing monthly merit letters
-
Assisting with DocuSign envelopes and templates
-
Supporting the preparation and distribution of incentive letters

Creating, maintaining, and updating confidential employee files
Recruiting & Onboarding Support

Managing the Service Anniversary Program, including gift distribution and platform administration

Assisting with job postings and interview coordination

Supporting the administration of the Traliant Training platform

Launching, tracking, and retaining onboarding paperwork for salaried new hires
Benefits Support

Maintaining employee benefits records and documentation
-
Assisting with open enrollment and end-of-year benefits tasks

Acting as backup support to the Benefits Specialist

Job Details
- Location: Lancaster, PA (onsite only)
- Schedule: (30 hours per week during business hours)
- Pay Rate: $22-$25/hr.
