Our client is seeking to fill a newly created Part-Time Administrative Assistant position! This role is essential to the smooth and efficient operation of a local government office. If you're a detail-oriented professional with strong administrative skills and a passion for public service, this could be an excellent fit for you.

About the Role:

Reporting to local government leadership, the Administrative Assistant will handle a wide range of tasks supporting sewer and water billing, accounts payable, and general operations. You'll be the first point of contact for residents and visitors—answering calls, greeting guests, and providing important information or directing inquiries.

Key Responsibilities:

  • Greet visitors and answer incoming calls, directing them as needed and handling basic inquiries.

  • Distribute approved permits and receive related payments; provide support to zoning and code enforcement staff.

  • Set up meeting rooms, take meeting minutes, and transcribe as needed.

  • Perform general office tasks including sorting mail, preparing bulk mailings, and operating office equipment.

  • Provide support to the sewer and water billing department, including accepting payments and managing inspection reports.

  • Maintain public-facing materials such as bulletin boards, ordinance booklets, and informational publications.

  • Order office supplies and coordinate building repairs and service appointments.

  • Monitor PA One Calls and update related records.

  • Maintain official records and documents for governing boards and committees.

  • Manage document scanning and digital retention systems.

Qualifications:

  • High school diploma or GED required.

  • 1–3 years of administrative or office experience.

  • Strong knowledge of general administrative practices and office procedures.

  • Familiarity with local codes, government processes, and community services is a plus.

  • Proficiency in Microsoft Office and basic database and spreadsheet applications.
