Our Client is seeking a proactive, detail-driven Administrative & Client Services Coordinator to ensure smooth day-to-day operations by supporting client communication, scheduling, therapist coordination, and office management. This role is perfect for someone who thrives in a dynamic environment, loves creating order, and brings a client-centered approach to every interaction.

Key Responsibilities:

Client Support & Coordination

  • Respond to client inquiries within 24 hours with warmth and professionalism

  • Guide potential clients through the screening process and transition them to the appropriate next step

  • Screen new client inquiries and ensure smooth onboarding

  • Follow up with clients in a timely and organized manner

  • Provide accurate information regarding services, therapist availability, and scheduling

  • Offer appropriate referrals when our services do not match client needs

  • Maintain client portals and send paperwork reminders

Therapist & Team Support

  • Schedule clients according to therapist preferences and availability

  • Keep therapists updated on client changes, cancellations, or needs

  • Coordinate communication with external professionals and referral partners

  • Support ongoing therapist needs with timely updates and resource access

Office & Administrative Operations

  • Open and close the office, greet clients and visitors when onsite

  • Manage calendars, handle mail, order supplies, and troubleshoot basic tech issues

  • Track and maintain organized records, notes, and documentation

  • Support HR tasks, including applicant tracking and payroll coordination

  • Prioritize and reprioritize tasks as needed when unexpected changes or restraints arise

  • Create and refine workflows to improve efficiency across administrative functions

Qualifications:

  • Exceptional organizational and multitasking skills
  • Strong written and verbal communication abilities

  • High attention to detail with excellent note-taking and record-keeping skills

  • Self-starter with intrinsic motivation to streamline processes and create efficient systems

  • Proven ability to follow through, meet deadlines, and manage competing priorities

  • Strong data entry and analytical skills for tracking client data and practice trends

  • Familiarity with Asana, Trello, or similar task management tools (preferred)

  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams

  • Experience in healthcare, behavioral health, or administrative support roles (preferred)

  • Comfortable handling confidential information with professionalism and discretion
