Are you an organizational superstar with a knack for multitasking and a passion for supporting executive leadership? Our client is seeking a highly proactive Executive Assistant to play a vital role in their team. This is your chance to be the backbone of a fast-paced organization, managing complex calendars, coordinating strategic initiatives, and ensuring smooth day-to-day operations.
In this role, you will:
- Manage and prioritize executive schedules, including meetings, appointments, and travel arrangements, ensuring optimal use of their time.
- Coordinate and support community and organizational initiatives, including planning events, preparing materials, and liaising with internal teams and external partners.
- Act as the primary point of contact for internal staff, stakeholders, and clients, representing the organization professionally and efficiently.
- Draft, review, and edit correspondence ensuring clarity, professionalism, and accuracy.
- Assist with project coordination, tracking deadlines, compiling reports, and managing documentation.
- Handle confidential and sensitive information with the utmost discretion, maintaining organizational trust.
- Support meeting logistics, including scheduling, preparing agendas, and taking detailed minutes.
- Facilitate communication among team members and external contacts to keep everyone aligned on priorities.
What we’re looking for:
- At least 3+ years of experience supporting senior leaders or executives.
- Proficiency in MS Office 365 and familiarity with CRM systems.
- Excellent communication, organization, and problem-solving skills.
- Ability to adapt quickly, prioritize tasks, and handle multiple projects simultaneously.
- A professional demeanor, with attention to detail and confidentiality.
- Flexibility for occasional early starts or late finishes for meeting support.
- Ability to handle travel arrangements and prepare meeting materials with precision.
Nice to have:
- Experience with community or economic development projects.
- Event planning or volunteer coordination background.
- Familiarity with managing mailing lists and stakeholder engagement.
