Our client is seeking an HR & Office Administrator to serve as an experienced, organized, detail-oriented team member supporting day-to-day office operations. This role coordinates administrative functions, accounts payable (AP) processing, and general HR support to ensure smooth internal workflows and reliable office systems. The HR & Office Administrator works closely with leadership and external partners/vendors to support financial processes, HR activities, and meeting coordination.
Schedule & Compensation
- Job Type: Temp-to-Perm
- Schedule: Part-time Monday–Friday, 8:30 AM–12:30 PM
- Salary: $30,000/year
Key Responsibilities:
Leadership & Administrative Support
- Provide administrative support to leadership and external partners as needed.
- Support meetings, including preparing agendas and taking notes/minutes.
- Participate in a shared phone coverage schedule.
Financial & Accounts Payable Support
- Coordinate daily financial tasks including mail handling, invoice processing, credit card management, and expense reports.
- Partner with external financial support resources on transaction processing and related documentation.
- Prepare weekly bank deposits and assist with other routine finance-related workflows.
- Assist with financial systems and tools as needed, including accounting and payables platforms and other third-party technology vendors.
Human Resources Support
- Coordinate with external HR support resources as needed.
- Assist with general HR activities and benefits-related tasks as requested.
Office Administration, Office Technology, and Supplies
- Serve as a point of contact for insurance, registrations, and required filings.
- Order, maintain, organize, and inventory office supplies.
- Process incoming/outgoing mail and support related office logistics.
Qualifications
- Minimum of 3 years of experience providing office and HR support.
- High school diploma or equivalent required.
- HR certification or a strong track record of relevant HR experience.
- Strong interpersonal skills with the ability to take initiative, multitask, remain flexible, and prioritize shifting deadlines.
- Demonstrated organizational, problem-solving, and follow-through skills.
- Excellent communication skills with an emphasis on professionalism and customer service.
Working Conditions
- Work is primarily performed in an office environment.
- Requires frequent use of standard office equipment, computer systems, and a keyboard.
Physical Demands
- Ability to lift and carry small parcels and office materials.
- Ability to walk short distances and perform mild physical tasks (such as event set-up).
- Ability to drive a personal vehicle for occasional local errands as needed.
