TriStarr is partnering with a client to hire a Part-Time Front Desk / Receptionist for a large, multi-unit business building. This is a great opportunity for someone who enjoys being the go-to resource in a professional setting—welcoming tenants and visitors, keeping daily operations running smoothly, and supporting a steady mix of administrative and customer-facing tasks. In this role, you’ll be central to tenant onboarding, access/key management, mail and package coordination, vendor communication, and ongoing front desk support.

Job Duties

Greet and assist tenants, employees, and visitors; direct visitors to their destination
Answer phones, forward calls, and respond to general inquiries
Onboard new tenants; prepare and review onboarding materials
Process and track access keys, mailbox keys, vehicle stickers, and related building access items
Administer the computerized key card system (issue/activate/deactivate/reformat cards; update directory)
Organize and maintain the mail room:
Update and organize mailboxes
Assist mail carriers in locating tenant mailboxes
Distribute/collect keys and manage mail for past tenants (hold/return as needed)
Oversee the package room and notify tenants when packages arrive
Maintain tenant directories, contact lists/email addresses, key card records, call box/mailbox information, vehicle sticker activity, and tenant Certificates of Insurance
Accept rent checks, keep payment records, and forward documentation to accounting
Maintain a daily activity log and provide a weekly report to management (Fridays)
Coordinate building communications (procedure notices, helpful tenant updates, building-wide emails)
Produce a quarterly building newsletter
Work with maintenance on building repairs and tenant issues
Coordinate with the cleaning company for service needs and follow-up
Oversee pest control visits and report any observed pest concerns
Oversee café vending machines and coordinate maintenance/repair
Manage common-use meeting suites (free and fee-per-use), including reservations, calendar scheduling, billing, and paperwork
Maintain the parking sticker process; inspect parking lot and tag vehicles as needed
Coordinate freight elevator access and instruct tenants on proper use; unlock if needed
Provide general administrative support (filing, typing, photocopying)
Monitor security cameras and alert management of concerns or questionable activity
Post “out of order” signs on malfunctioning equipment as needed
Support lease renewals and related administrative tasks (as assigned)
Open and lock the building at various times as needed
Maintain an organized front desk and prepare a clear coverage/substitute folder
Coordinate engagement items as needed (birthdays, cards, cake orders, vouchers)

Job Requirements

Prior front desk, administrative, or customer service experience preferred (property/building environment is a plus)
Strong communication skills and a professional, welcoming presence
Organized and detail-oriented with solid follow-through and recordkeeping skills
Comfortable working independently, prioritizing tasks, and handling a steady flow of questions/requests
Basic computer skills and ability to learn building systems (key card/access management, calendars, etc.)
Microsoft Office proficiency, including strong skills in Microsoft Word, Excel, and Publisher
Bilingual in Spanish (preferred but not required)

Lancaster City (parking provided onsite) 

Schedule

1 day per week (Friday), 8:00 AM–5:00 PM (1-hour lunch), with willingness to cover shifts as needed
Position will eventually extend to 2 days per week at some point in the future TBD

Pay

$18–$20/hour, based on experience

Dress Code

Business casual (no denim)
