As they continue to grow, our client, located in Lancaster, PA, is seeking a detail-oriented and client-focused Client Service Coordinator who is passionate about creating operational excellence to support their high-performing, well established Financial Planning Firm. This is not just an administrative role, it's a key position that keeps the heartbeat of their office running smoothly. This individual will be the go to person for both strategic coordination and day to day execution, helping ensure their team delivers exceptional service to every client. 

Key Responsibilities:

  • Serve as the primary point of contact for non-investment-related client inquiries
  • Oversee day to day operations
  • Manage office supply inventory and office systems
  • Ensure a professional online and physical office presence 
  • Ensure adherence to industry regulations and company policies 
  • Prepare and process new client applications; maintain accurate CRM records
  • Collect and organize documentation for account onboarding and ongoing maintenance
  • Manage calendars and coordinate meetings for the Financial Advisor and clients
  • Prepare materials and reports for client meetings; handle follow-up communications
  • Liaise with clients and external centers of influence (e.g., attorneys, accountants) to support client service needs, documentation, and account transactions.
  • Answer and log client calls; provide information, escalate issues appropriately, and provide troubleshooting support for online access
  • Support client service initiatives, events, and operational requests

Knowledge & Skills:

  • PA Public Notary Certification (or willingness to obtain)
  • Ability to adapt to evolving business needs
  • Comfortable working independently and taking initiative 

Qualifications:

  • Bachelor’s Degree preferred
  • 2+ years of experience in administrative, financial, or client service roles
  • Exceptional organizational, communication, and interpersonal skills
  • Proficiency in Microsoft Office Suite and Outlook Calendar
  • Experience with CRM systems (Redtail experience is a plus)
  • Background in financial services is strongly preferred
  • Self-starter with excellent time management and multitasking skills

Pay Rate: $51,000–$53,000/year
Schedule: Mon.-Thurs., 9am–5pm; Friday 9am -3pm
Dress Code: Business Casual
Start Date: ASAP pending interviews 
Assignment Type: Permanent Hire
